How to Use Projection Mapping at Corporate Events

Projection Mapping is a technology that lets companies display digital art on physical spaces. In our modern era, it is often used to decorate buildings, public activations and live events. Furthermore, thanks to its flexibility and ability to display branded content, this technology has reached the corporate event industry, disrupting traditional event design and pushing the boundaries of creativity, resulting in unique, immersive experiences for guests.

Now, you may wonder how projection mapping can be used at corporate events. Well, in this article, we will analyze a few applications of this technology and how it can support corporate events, making them memorable and impressing your stakeholders.

Create an Immersive Event Theme.

One of the most powerful ways to use projection mapping at corporate events is to turn the entire venue into an immersive room with content that defines the event theme. In addition to decorating the venue with physical scenic pieces, props, and decor, projection mapping allows event producers to create animated digital environments that are dynamic and change throughout the event, blending the digital world with the physical one, or, in technical terms, you add spatial augmented reality to your event design.

For example, if a corporate event is held in a specific city, the projected content can display that location on the venue’s walls through skyline visuals, landscapes, and content about the local culture and art. In this way, the guests who are visiting from different cities can immerse themselves in the location’s landmarks without leaving the venue. In another example, if the event theme is sustainability, the content can evolve throughout the evening, highlighting key natural parks on Earth that will benefit from the corporation’s sustainability efforts.

As you can see, with this technology, you can create any theme you have in mind, including fun ones such as wonderland, winterland, sci-fi, or a magic forest. This specific application of projection mapping is well received at corporate dinners, leadership events, annual meetings, award nights, product launches, and stakeholder receptions where the event theme plays a key role.

In our last example, we bring to you in this section, Go2 Productions created an immersive experience for the EY Partner Conference dinner in Calgary by creating a 270° projection environment that surrounded 900 guests with animated landscapes inspired by Alberta. The room changed throughout the dinner, moving from Calgary cityscapes to prairies, mountains, lakes, Banff, Jasper, and an aurora borealis finale. Here is a video about this project.

Projection Mapping for Event Openers

Our second application for using projection mapping at corporate events is to wow your audience with a multimedia opening show. After the reception, an event opener breaks the ice and captures the audience’s attention, making them more receptive to any message the corporation wishes to convey. This moment is crucial.

With this technology, event producers can make the opener high-impact by extending the show beyond the central stage and displaying animated content across the room, on the stage, or on scenic elements, creating a strong first impression. The content is custom and can introduce the event theme, convey the company message, animate the brand identity, or immerse the audience in the event’s visual identity.

A multimedia show for an event opener is a great solution at conferences, summits, leadership meetings, award ceremonies, and corporate celebrations, where audiences may be networking and chatting at the reception, and a strong projection-mapped opener can help the audience shift from casual conversation to focused attention.

Support Keynote Presentations

Most corporate events often include keynotes, leadership presentations, strategy sessions, and educational content. Many speakers know well that these moments can become difficult to hold the audience’s attention if the audience is only looking at slides for long periods of time, or if the information is too complex without visual support. In these settings, projection mapping gives speakers a solution to make the presentation content more visual and connected to the audience.

In many cases, the projection can support the speaker by framing key ideas, animating transitions, displaying branded visuals, or using the surrounding space to reinforce the message. The goal is to make the presentation easier to follow and more visually engaging without distracting from the key person on stage.

For example, if a CEO is presenting a company vision, projection mapping can use the room to introduce different chapters of the message. If a brand is presenting sales reports, graphs can be displayed on the walls and the central stage. If a conference has multiple session topics, each topic can have its own visual identity while still feeling part of the same event design.

This approach needs to be subtle to avoid distracting people, yet hit a sweet spot where engagement is at its maximum and attention is focused on the intended message.

Display Branded Content on Venue Architecture.

Another practical application at corporate events is using projection mapping to display branded content directly on the venue architecture. Many corporate venues have interesting walls, columns, ceiling structures, windows, entrance areas, facades, or stage features that can become projection surfaces.

Leveraging architecture with projection is a great solution when the corporation wants branded content integrated into the space. Additionally, it is a sustainable alternative to adding signs instead of employing printed signs or massive decals. Also, projection can animate the brand across the architecture, making all the animations dynamic and making the content stand out. Logos, campaign messages, patterns, sponsor visuals, product graphics, and event themes can all be mapped onto surfaces.

Branded content shines in entrances, reception areas, gala rooms, networking spaces, and main stages. Where guests are more likely to see the brand as part of the environment. Putting branded content in those contexts is also a good marketing strategy for brand awareness, as guests may take photos and videos to share on their social media. Those photos will display your branded content in the background, giving you exposure through UGC (user-generated content).

This application also gives event producers flexibility. Projection content can change throughout the event, support different sponsors, mark program transitions, or adapt to different parts of the evening. A welcome visual can later become a dynamic logo, then shift into a sponsor mention, an awards sequence, or a closing animation.

Create Multimedia Shows

Must corporate events need a dedicated show moment. This could be a company milestone, an awards segment, a leadership transition, a gala performance, a sponsor reveal, a product introduction, or a closing sequence. Here, projection mapping can help craft these moments with a multimedia experience that combines visuals, sound, lighting, animation, and live performance.

A multimedia show provides the audience with a wow moment, builds anticipation for the event’s climax, and generates excitement among stakeholders. Depending on the goal of the show, it will evoke different emotions. However, the end objective is to create an experience for the audience that puts them in an emotional state, making them more receptive to key messages and more likely to remember them. This application is notably adequate for events with an emotional purpose, such as celebrating a company anniversary, honouring employees, recognizing partners, or telling a cultural story.

Additionally, projection mapping can enhance the connection between digital content and live performances. Dancers, presenters, musicians, or other performers can interact with projected visuals, creating a multi-layered experience. The content can respond to movement, support the narrative, and even make the stage feel larger than its physical setup.

Create Massive Holograms

Projection mapping can also be used to create holographic-style visuals when projected onto transparent mesh or scrim in controlled lighting conditions. This approach can add depth to a stage and make digital content appear to float in front of performers, presenters, or scenic elements.

This application thrives in corporate events that require theatrical elements or premium visual moments. A holographic-style projection can introduce a character, symbol, product, brand element, abstract shape, or environmental effect. It can also be used to support cultural storytelling, opening ceremonies, entertainment segments, or executive presentations.

For instance, Go2 Productions used this approach for Aurora Spirits at the Global LNG AGM in Vancouver. The stage combined an 80-ft-wide by 18-ft-tall holographic projected scrim with a dynamic LED wall backdrop. The transparent scrim displayed the aurora borealis and large animal spirits connected to Squamish Nation legends, while the LED wall supported the story with animated background visuals.

Creating massive holograms surely captures the attention of the audience and is an innovative solution to convey any message. However, this type of production needs careful technical planning. Lighting control, projection angles, scrim placement and the right content brightness. All affect the final result, but it will give you a top-notch audiovisual experience.

Final thoughts

Projection mapping can be used at corporate events in many practical ways. It can help create immersive event themes, transform venues, support openers, enhance keynote presentations, display branded content on architecture, create multimedia shows, produce holographic-style visuals, guide transitions, and close the event.
